About Ziflow

Ziflow, founded in 2016 by the creators of ProofHQ, has quickly become a go-to solution for creative review and approval workflows. It’s often described as the “system of record for feedback” on creative content. Unlike a traditional DAM, Ziflow doesn’t focus on long-term asset storage or broad distribution – instead, it focuses on the active collaboration phase of content creation. Key features include support for any file type or media: images, multi-page PDFs, videos, web URLs, audio files, and more. Team members and external stakeholders can markup proofs with comments, draw annotations, highlight text, and even compare versions side-by-side to ensure changes were made.

Ziflow stands out for its robust workflow automation, and you can create custom review workflows, set automatic reminders or deadlines on proofs, and even integrate with project management tools to update statuses. It also features automated versioning and online editing for specific content.

In recent developments, Ziflow has incorporated AI features under “ZiflowAI” – for example, offering AI-generated copy suggestions for creatives stuck on wording, and an AI “Review Assistant” that can automatically check content for compliance issues. This shows Ziflow is innovating in the creative ops space, not just static proofing.

In essence, Ziflow’s value lies in accelerating review cycles – providing more precise feedback, avoiding version confusion, and speeding up approvals. Many companies adopting Ziflow report significant reductions in project turnaround times and errors (no more someone approving the wrong version, etc.). It often replaces a combination of email, PDF markups, and ad-hoc tools with one coherent platform.

Expensive Pricing

Ziflow pricing is generally considered mid-range for the value, cheaper than enterprise project management suites, but more than basic proofing plugins, reflecting its comprehensive feature set. Here’s an overview:

  • Free: Supports 2 users and unlimited reviewers. This free version enables small teams to utilize core proofing features (review and annotate) on a limited user basis – ideal for freelancers or duos working with clients. It’s somewhat unique that Ziflow provides a free-forever tier, which is great for trial or small usage.

  • Standard: Starting around $249/month for up to 15 users. This plan includes 1TB storage, unlimited reviewers (people who can comment but aren’t counted as full users), and all the core proofing and workflow features. It’s designed for small to mid-sized teams that need robust proofing.

  • Pro: At $399/month, this plan adds more users, storage, integrations, and includes more advanced workflow features.

  • Enterprise: Custom priced. For large organizations, Ziflow offers enterprise licensing, which could include unlimited users, advanced admin features, API access for custom integration, and enhanced security options. Enterprise pricing would be negotiated, and it could be tens of thousands per year, depending on user count and needs.

All paid plans generally include unlimited proofs and storage. There is also a 14-day free trial of any paid tier, allowing teams to try out the full feature set. In summary, Ziflow’s pricing is subscription-based, fairly straightforward, and scales with team size and feature needs. It’s not the cheapest tool out there, but users often comment that the time saved and mistakes avoided during reviews justify the expense.

"I am not a fan of using this service. Our bank uses this to track and review market materials, so it is a requirement on us as a client to use this." Source

"Backend search is not the greatest. Very hard to search for certain proofs." Source

Ziflow FAQs

What is Ziflow?

Ziflow is a cloud-based online proofing software designed to help teams review and approve creative content. In practice, it provides a centralized platform where you upload creative assets, invite others to review them, and then everyone can leave comments, annotations, and approvals directly on the content. It streamlines the feedback process by eliminating back-and-forth emails. All feedback is collected in one place, tied to specific points in the content, and all reviewers can see each other’s comments. Ziflow also tracks versions of assets, allowing you to manage changes and ensure that the final approval is based on the correct version. It’s essentially a project collaboration tool focused solely on the content review and approval stage of creative workflows.

Who should use Ziflow?

Ziflow is ideal for marketing teams, creative agencies, design studios, video production teams, and any organization that produces a large volume of content requiring feedback from multiple stakeholders. If you have projects where a design or advertisement needs input from a manager, a client, and maybe legal or compliance, Ziflow is built for you. Typical users include creative directors, project managers, designers, video editors, marketers, account managers, and clients. For example, an ad agency might use Ziflow to have clients review campaign assets, or an in-house design team might use it to get approvals from various department heads on a new brochure. Even software teams use it to review UI designs or marketing materials. If your workflow currently involves sending PDFs by email or using a combination of tools to obtain sign-off, Ziflow centralizes that process.

What types of content can Ziflow handle?

Ziflow can handle tons of file types, effectively almost anything you throw at it. Common types include images, PDFs, videos, audio files, web content, Microsoft Office documents, Adobe files, and more. It also supports ZIP files and specialized formats, such as 3D models and raw camera files, by converting them into preview images. Essentially, if your team works with it, Ziflow likely can create a proof of it. This wide support is a big selling point.

How does the feedback and approval process work in Ziflow?

Typically, you’d start by creating a “Proof” in Ziflow, where you upload a file or enter a URL. You then add reviewers to that proof. Reviewers open the proof in their browser and can add comments or markups. Everyone invited can see and respond to each other’s comments. There’s a toolbar to mark comments as resolved or for reviewers to indicate “Approved” or “Changes Required”.

Once feedback is received, the creator can upload a new version of the asset to the same proof. Reviewers will be notified and can compare the old and new versions side by side. This cycle continues until everyone’s happy. Finally, once it’s good to go, reviewers give approvals. The proof can then be marked as Approved/Final, and you have an audit trail of who approved what and when.

Is Ziflow only for internal teams, or can we use it with clients?

Ziflow is built to be used both internally and externally. You can use it to collaborate with clients or any external stakeholders. When you invite someone to a proof, you can designate them as a “Reviewer,” which means they don’t need a paid account on your plan – they’ll access via the secure link (they might need to verify via email, but they don’t have to buy or install anything). Many agencies use Ziflow as their client review portal, allowing clients to add comments and approve as needed. You can also brand the Ziflow interface with your logo and colors on higher plans, so it looks like an extension of your company.
